Features

A complete laboratory system, free for every lab

Everything below is included for every laboratory, with unlimited users and cases. No modules to buy, no feature tiers.

Case workflow

Register a request in under a minute, from a new or existing patient, with specimens, priority and the referrer's own reference. Cases move through plain-English statuses that every role understands, and every step is timestamped.

  • Configurable case types and accession numbering, e.g. {PREFIX}{YY}-{SEQ:5} → H26-00042
  • Assign one or more pathologists; they accept or decline, and an unassigned queue catches the rest
  • "Make urgent" in one click; holds for extra work pause the clock with a reason
  • Duplicate-patient warnings and a patient page listing every case

Structured reporting and outputs

A rich-text editor that keeps pasted Word content intact, section templates per case type, autosave, and authorisation that freezes an immutable version.

  • PDF, Word and plain-text outputs from the same source, on your letterhead
  • Supplementary reports in date order, never overwriting the original
  • Second-check authorisation when your laboratory wants it
  • Electronic signature with name, qualifications and registration number

Synoptic templates

Build structured forms for the datasets your laboratory is licensed to use: single choice, multiple choice, numbers with units, free text, required fields. Answers print under the microscopy section.

  • Starter templates written by us for common specimens, free of licence restrictions
  • Versioned templates, so old reports keep the form they were written with
  • Data stored as structured fields, ready for future dataset exports

Terminology

Code diagnoses and tests with recognised vocabularies. Free packs are bundled with their attribution; licensed packs are imported by laboratories that hold the licence.

  • Bundled: SNOMED CT Global Patient Set, LOINC, UCUM, ICD-11, ICD-10-CM, HGNC
  • Import CSV or SNOMED CT RF2 files, with a licence attestation recorded
  • Search by code, term or synonym while you report

Turnaround times and KPIs

Targets per case type and priority, from receipt to authorisation. Dashboards per pathologist, referrer and case type, with at-risk lists before anything breaches.

  • Working-day calendar with public holidays
  • Holds for special stains or extra blocks are recorded and explained
  • Excel export for audits, contracts and accreditation

Referrer portal

Hospitals, clinics, practices and clients sign in to see their own cases only. Status wording is plain, reports download in one click, and an optional PIN adds a second check.

  • Strictly scoped: a referrer can never see another referrer's patients
  • Messages linked to cases, with unread counts that clear when read
  • Per-user email preferences

Digital pathology (WSI links)

Keep slides on your own image server and open them from the case. VipLIMS stores the link and the slide list, not the multi-gigabyte images.

  • Viewer profiles with URL templates, e.g. https://slides.example.org/view?slide={slideId}
  • Slides per specimen with stain and scan status
  • Review progress per pathologist

Invoices and statements

Fee schedules per case type and referrer, monthly invoices for referrers and payment statements for pathologists, in your currency, on your letterhead.

  • Correct totals, numbering and VAT text you control
  • Excel and PDF exports

Audit trail and quality

Every sign-in, view, change, export and authorisation is recorded with who, when and from where. The database refuses edits to the record.

  • Filter, paginate and export the full history, with no 100-row cap
  • Read-only auditor role for inspections
  • Per-tenant isolation tested automatically on every release

Being honest

What VipLIMS does not do yet

We would rather you know now than find out in month three.

  • Analyser interfaces (ASTM, HL7 v2) are on the roadmap, not available today. Results are entered or imported.
  • HL7 FHIR and a public API are planned. Today you can export everything as CSV, JSON and PDF.
  • Microbiology sensitivities are recorded as coded results; there is no expert-rules engine.
  • Blood bank issue and transfusion are out of scope: that software is usually a regulated medical device.
  • Certifications such as ISO/IEC 27001 are on our roadmap; we do not claim them.
